**SUMMARY**
Assist in the management and oversight of the Professional Services Division office by Administering and managing operational functions related to the daily activities of the office, its overhead, and direct contract personnel; including meet the infrastructure and resource needs, enabling efficient operation of the office and supporting all internal and external communications.
**ESSENTIAL DUTIES & RESPONSIBILITIES**
+ Work closely with the Division Director and Program Managers to support the changing division needs.
+ Assist Program Managers in monitoring budgets, staffing, schedules, and monthly deliverables.
+ Provide management and execution of all administrative duties to support the daily operations of the division.
+ Support administrative needs of the various service programs within the division, as well as, assisting all division personnel with assigned projects.
+ Manage and meet all infrastructure (information technology, supplies, equipment) requirements.
+ Assist with responding to all administrative requirements; meeting all staffing efforts including administering and scheduling interviews, contacting candidates, gathering and storing resumes; and assisting corporate Human Resources staff in administering to the needs of the Division personnel.
+ Provide support to offsite staff and offices of the Division.
+ Coordinate closely with personnel in communications and outreach.
+ Review subcontractor invoices, employee expense reimbursement requests, and coordinate efforts of assigned projects.
+ Act as a backup point of contact for Program Managers as needed.
+ Respond to informational needs on behalf the Division.
+ Organize work activities to ensure timely completion of assigned responsibilities.
+ Foster positive work relationships with customers, co-workers, and visitors.
+ Work with both technical and non-technical team members and customers, tailoring messages appropriately.
+ Maintains regular and punctual attendance.
+ Performs other duties as assigned.
**SUPERVISORY RESPONSIBILITIES**
Provide project direction in accordance with division directives.
**Job Requirements:**
**MINIMUM QUALIFICATIONS**
+ High School Diploma required. College or technical coursework is preferred.
+ A minimum of two (2) years’ experience in managing and administering the needs of an office environment, including project planning, scheduling, and reporting.
+ Must obtain and maintain any necessary security access and/or background checks.
**DESIRED QUALIFICATIONS & SKILLS**
+ Ability to operate standard office equipment.
+ Ability to work independently with minimal direct supervision.
+ Ability to coordinate multiple activities at once, quickly analyze and resolve specific problems and cope with deadlines effectively.
+ Ability to contribute to the fostering of positive office morale; be a team player.
+ Ability to adapt to changes in the work environment and manage competing demands while maintaining a professional demeanor.
+ Communicate effectively both in writing and verbally with applicants, employees, and managers at all levels of the organization.
+ Excellent telephone skills.
+ Deliver excellent customer service in a fast-paced environment.
**WORK SCHEDULE**
Full-time. May be required to work additional hours as needed to complete assignment or project.
**TRAVEL**
The expected travel time is less than 5%.
**DRIVING REQUIREMENT**
Must have or be able to attain a valid state driver’s license and be insurable on the company’s automobile insurance policy. Driving, with or without accommodation, may be required when traveling for training and/or short occasional amounts of local driving. The expected driving time is less than 25%.
**WORK ENVIRONMENT**
Work is expected to be remote; however, the company reserves the right to require onsite work.
**PHYSICAL DEMANDS**
Position consists of sitting for long periods of time, using hands/fingers, handling, reaching with hands and arms, talking, hearing; occasional walking or standing, bending, kneeling, stooping, crouching, and lifting boxes weighing up to 10 pounds. Moderate to extended periods of office work with heavy periods of computer usage.
