Work with the Director of Procurement, Logistics and POS on all aspects of company logistics to ensure all loads are picked up and delivered on time professionally, including: Assign all drivers for each product partner, purchase load pickup and shipments to all Centers and any other external locations as required. Prepare work schedules for all drivers, approve time sheets, etc. Communicate to drivers all pickup locations, directions as needed, apt numbers/PO#'s, status updates (i.e., ETA's, delays on loading), onsite Contact, and any additional information needed to ensure all loads are picked up promptly and professionally. Maintain record for all pickups, including assigned driver, driver check-in time, checkout time, location, and truck/trailer #, miles driven. Audit freight bills and verify all charges, including mileage, dwell time, and service fees. Complete freight reconciliation sheets on all contract driver bills and submit them to the Director of Procurement, Logistics and POS in a timely manner to ensure timely payment to these business partners. Work withDistribution Center, Store/Center teams and Procurement to coordinate inbound and outbound trucks to and from our distribution center and provide tracking information. Help communicate truck availability, traffic delays, pickup issues, messages from drivers, and inbound inventory items. Relay upcoming product loads to the distribution center team with as much lead time as possible to help ensure space is available when the load arrives at our warehouse. Maintain, update, and disseminate various spreadsheets for cross-functional team reporting. Maintain inbound shipment logs on the logistics calendar. Coordinate with the DC Manager and Purchasing and Order fulfillment Supervisor on all our bound shipments to the Store/Center and other locations as required. Ensure the DC Manager and Purchasing and Order fulfillment Supervisor are aware of all inbound shipments. Maintain Procurement Receipt tracking workbook and SharePoint incoming. Maintain high discretion and confidentiality regarding the organization's files and partners. Ensure each driver completes a driver inspection for each shift, communicates any issues to the Director of Procurement, Logistics and POS and Maintenance Department as needed, and keepon file annually. Ensure that all companyowned and leased trucks and trailers are cleaned on a regular basis. Work with our Director of Procurement, Logistics and POS to ensure all leased and owned trailers/trucks are appropriately maintained. This includes any repair orders, roadside assistance agreements, preventative maintenance requests, yearly inspections, and communication with internal teams when an asset will be out of service for repairs. Maintain the Maintenance log on the SharePoint drive for all leased and owned trucks/trailers in our fleet. Upload all work orders and invoices as complete and close out repairs. Work closely with the Director of Procurement Logistics and POS daily to help balance distribution center needs and partner needs. Communicate all pickup issues to the Director of Procurement, Logistics and POS in real time so the partners are made aware as quickly as possible. Maintain timely and accurate reporting to provide the Procurement team with detailed information on each load picked up. Maintain relationships with our contract drivers and ensure they always represent company mission, core standards, and professionalism as they represent our organization. Manage the Box truck drivers that are employed by organizationand ensure they always represent companymission, core standards, and professionalism. Create staff weekly schedules to ensure we have enough drivers for daily deliveries. Work with the Distribution Center Manager and Inventory Specialist to ensure Box trucks are delivering product to the Store/Center daily. Monitor all shipping transfer forms for each loa that leaves the distribution center and confirm the driver has a printed copy of the shipping transfer form for each load they deliver to the Store/Center for the Manager on duty upon arrival. Coordinate with the Inventory Specialist that the distribution centershipping tracking sheet in updated daily to provide detailed information needed for monthly reporting on all products shipped to each of our sites from our distribution center. Maintain files for all BOLs received at the distribution center and ensure copies are sent to parties as needed. Research carriers and 3PL companies to work with and create a preferred company list with pricing. Organizing files and confirm documents are received, processed, and organized.
