Description We are seeking an Executive Assistant to join our team in the Financial Services industry, based in Orlando, Florida. In this role, you will provide critical support to our executives, utilizing AI technology and co-pilot programs to optimize workflow, manage schedules, facilitate communication, and prepare reports. This position offers a short term contract employment opportunity. Responsibilities: • Leverage AI technology to improve business operations and processes. • Manage executive’s calendars, ensuring effective coordination and organization of appointments and meetings. • Utilize AI co-pilot programs to streamline business operations such as scheduling, reminders, data analysis, and interpreting patterns. • Collaborate with various team members and departments, using AI tools to ensure seamless communication and prompt execution of tasks. • Prepare and compile daily, weekly, and monthly reports and presentations using AI systems. • Maintain updated knowledge of industry trends, particularly in AI, to ensure our operation strategies are in sync with technological advancements. • Support the development and implementation of new systems and procedures as required. • Handle confidential information with discretion. • Provide support around the office or in meetings as required. • Use your skills in ADP - Financial Services, Concur, CRM, Kronos Timekeeping System, About Time, Calendar Management, Communication, Conference Calls, Correspondence, Artificial Intelligence (AI), Arranging Travel, and Book Travel Arrangements to perform your duties effectively. Requirements • Proven experience in a similar role within the Financial Services industry • Proficient in ADP - Financial Services and Concur • Familiarity with CRM and Kronos Timekeeping System • Experience with About Time software • Exceptional calendar management skills • Strong communication skills, both verbal and written • Ability to coordinate conference calls and manage correspondence • Knowledge of Artificial Intelligence (AI) is an advantage • Experience in arranging and booking travel arrangements • Ability to handle sensitive and confidential information with discretion • Strong organizational and multitasking abilities • High attention to detail and problem-solving skills • Ability to work independently and as part of a team.
